Getting started
1. Accept your invite
Your organization’s admin invites you by email or with a one-time join code. Open the invite on your phone, tap Accept, set a password, and fill in your name and job title. That’s your account — you’re now in your company’s workspace and no one else’s.
No work email? Admins can create a no-email account for you with a temporary password you change on first sign-in.
2. Post your first piece of knowledge
Tap + and write down one thing you know — a fix, a setting, a “here’s how we actually do it.” Add photos if it helps. Pick a category (knowledge, a known issue, or a service record) and, if it belongs to a machine or part, link it. Post it. It’s now saved for the whole team, permanently.
3. Scan an asset’s QR code
Every machine, tool, or location can carry a WorkLegacy QR sticker. Tap the scan button, point your camera at the code, and you land on that asset’s page — its full history, the parts and assemblies tied to it, and everything your team has ever captured about it. Admins generate and print these codes from the asset’s page.

What does WorkLegacy do?
WorkLegacy captures the hands-on, in-their-heads knowledge your experienced people carry — the fixes, the settings, the service history, the “how we actually do it” — and pins it to the equipment, tools, parts, and places it belongs, by QR code. When someone retires or moves on, that knowledge stays with your organization instead of walking out the door.
How do I invite my team?
An admin opens Admin → Invite employees. You can send email invites one at a time, invite many people at once with a bulk list, or create accounts for people who don’t have a work email. Each person gets a link or code, accepts, and joins your workspace. You control everyone’s role — viewer, contributor, supervisor, or admin.
What happens when someone leaves?
Everything they captured stays. When a person leaves, an admin marks them a former employee — their posts, service records, and know-how remain in your organization, attributed to them, fully searchable. That’s the whole point: the knowledge is the company’s, and it doesn’t leave when the person does.
How is my data protected?
Each organization’s data is isolated from every other organization and enforced at the database level (row-level security), so your people see your data and no one else’s. Data is encrypted in transit, access is controlled by role, and sensitive values are scrubbed from logs and crash reports. Full detail is in our Privacy Policy.
How do I delete my account?
In the app, go to Settings → Delete account. Deleting removes your personal login and profile details. Knowledge you contributed on behalf of your organization is retained by the organization (attributed to a former employee) so the team doesn’t lose it — this is described in the Privacy Policy. If you need help or want an organization-level deletion, email support@worklegacy.app.
